Desktop App Update Guide

Follow the steps below to install the latest version of the desktop app.

 

Before You Begin

Please read through the following checklist for things you need before starting the update:

  • Operate from the register computer that needs the update.
  • Have your store’s URL handy (e.g., https://your-store.bottlepos.com).
  • The login credentials for an admin account.

⚠️ Important: Do not close the application during installation or restart your computer mid-update. Wait for each step to fully complete before moving on.

 

Part 1: Download & Install the Update

When you open the app, you may see a prompt indicating that an update is available or required. Follow these steps to install it:

Option 1: Step 1 — Click “Yes” on Optional Update Prompt

  1. An optional prompt will appear on your login screen indicating that a new update is available to be downloaded. Click the green “Yes” button to begin.

    Please Note: If you do not wish to download the update at this time, select the red “No” button to delay the update and continue to the login screen. To make this prompt reappear, you will need to fully restart the software.

  2. Once you have clicked Yes, the new update will automatically install. You will be prompted to close the existing instance of the software while an updated version will run and open automatically to the login screen.
Success: If the login screen appears immediately after opening the app, the update was successful! You can skip to the Printer Setup section if needed or simply log in and continue as normal.

 

Option 2: Step 1 — Click “Download Latest Desktop App” on Update Prompt

A prompt will appear on your login screen indicating that your current version is outdated. Click the blue Download Latest Desktop App button to begin.

A file download window will open. Save the file to your Downloads folder.

Option 2: Step 2 — Run the Installer

Once the file has finished downloading, locate it in your Downloads folder and double-click it to begin installation.

⚠️ Important: You may see a blue “Windows Protected Your PC” warning. This is expected for new app releases. Follow the steps below to proceed safely.

If the Windows security prompt appears:

  1. Click More Info on the blue warning screen.

  2. Additional details will appear, including the app name (BottlePOS-Setup-Latest.exe) and publisher.
  3. Click Run Anyway to proceed with the installation.

Option 2: Step 3 — Complete the Installation

The installer will run after you’ve selected the Run Anyway option. Once it finishes, the application will open. You can expect to see multiple loading/initialization screens as this installation process is executed.

Success: If the login screen appears immediately after opening the app, the update was successful! You can skip to the Printer Setup section if needed, or simply log in and continue as normal.

Part 2: Configure Store Settings (If Needed)

If you see a Welcome to Bottle POS screen instead of the login screen after installation, your store URL needs to be re-entered. This is a one-time setup step.

Step 1 — Open Store Settings

On the Welcome to Bottle POS screen, click the Configure Store Settings button. A POS Settings window will open.

Step 2 — Enter Your Store URL

  • Click inside the “POS URL” field.
  • Enter your store’s full URL (e.g., https://your-store.bottlepos.com).
⚠️ Important: Do not include /admin at the end of the URL. Only enter the base store address.

Step 3 — Save and Close

Click the Save Settings button, pictured above. A Settings Saved Successfully notification will appear in the bottom-right corner of your screen.

Close the POS Settings window by clicking the X in the upper-right corner of the settings window — not the X behind it.

ℹ️ Note: After saving, the login screen will appear. You may also see an “Alert!” dialog — simply click OK to dismiss it.

Part 3: Register Your Device

When logging in for the first time after the update, you may be prompted to register this device. This links your register to the correct location in your system.

  1. Log in using your admin credentials (or a user with admin permissions).
  2. An Initial Device Setup window will appear. Use the Existing Device drop-list to select the register you are setting up (e.g., “Register 1” or “Main Register”).

  3. Leave the Existing Location set to Inventory. If you don’t see a location dropdown, skip this step.
  4. Click the blue Register button. The application will begin loading your store data.

Success: Once loading completes, you will be redirected to your register screen. Your system is ready to use!

Part 4: Set Up Your Receipt Printer (If Needed)

If your receipt printer stops working after the update, you’ll need to reconfigure it. This is a quick one-time step.

Step 1 — Open Printer Settings

  1. From the register, click the Settings tab at the top of the screen.
  2. Select Printing from the settings menu.

Step 2 — Update the Print Method

  1. Under the Receipt Printing section, find the Connection field and set the Method to Electron Print, as pictured above.
  2. Scroll down to the Report Printing section and also set its Method to Electron Print.

Step 3 — Configure the Thermal Printer

  1. Click the blue Open Settings button under Receipt Printing. A POS Settings window will open.
  2. Select the Thermal Printer tab at the top of the window.

  3. Use the Select a Printer drop-list to choose your receipt printer. The remaining settings will fill in automatically — do not change them.

Step 4 — Save and Return

  1. Scroll down and click the blue Save Settings button.
  2. Close the settings window and click the Register button in the top-left to return to the register screen.

Success: Your receipt printer is now configured. You can use the Test Print button to verify it’s working correctly.
